In 2017, a multi-national animal healthcare company needed to remove its sales team from the operations of meetings as the incentive destination events was taking them away from key priorities of selling. EMC Meetings & Events was hired by their marketing department to develop a turnkey, fully managed meeting process through a centralized transparent approach to their events. The 2-day events targeted top clients and were to be held in 4 to 5-star resorts throughout the United States and broken down by 66 regions. The events ranged from 60 to 300 attendees and included an education component, catering and recreational activities either on or off-site. Also, we were tasked with creating standard operating procedures to ensure that success could be duplicated within a team environment.
The planning of these events required complex activities, numerous suppliers, multiple resources, risk mitigation that result from significant spend. Our focus was to manage the entire event from concept or completion - including but not limited to venue sourcing and contracting, attendee registration websites, all pre-planning logistics, all vendor management and program payment processing, name badges, onsite management, room list management, full budget management, survey results and multiple post event reporting.
The program has allowed the company to build relationships with their clients in a non-sales environment. Due to the success of the program, EMC Meetings & Events is a trusted extension of the marketing team and continued each year to provide full meeting services for the destination weekend program, averaging 50 weekend programs year on year.
